Take advantage of discounted rates exclusively for ARVO Annual Meeting attendees, guests and exhibitors by making your hotel reservations through the Annual Meeting housing site. Booking a hotel in ARVO's block offers attendees many benefits, including enhanced networking opportunities, proximity to the convention center, high-quality venues, discounted rates and flexible booking terms. 

NOTE: When you book online through ARVO's Housing Bureau you avoid potential scams. Companies that phone, email or fax attendees and exhibitors claiming to offer good deals on hotel rooms are commonly referred to as "housing pirates" or "housing bandits." They may falsely claim to be affiliated with ARVO. 

Orchid Events is the official ARVO housing bureau; it uses the services and booking website of Lanyon Passkey.

  • Book hotel reservations through this site by March 11, 2026, to receive ARVO's rates. You will not be contacted directly by Orchid Events unless there is a question about your existing reservation.
  • After March 11, cancelled room reservations will incur a cancellation fee. There is no fee for modifying your reservation.

Hotel Reservation FAQs

When you reserve your room through Orchid Events, your credit card will be used to hold your reservation for guarantee only. Your card is not charged until a deposit is needed immediately before the Meeting. Online discount sites may charge your credit card for your entire stay when you make your reservation.

Also, ARVO room blocks not only guarantee attendees will have a room available during the Annual Meeting. but also guarantee the host city that hotel rooms will be booked. When the minimum number of contracted rooms goes unsold, the Association may pay penalty fees to the hotel. Additionally, booking fewer rooms gives ARVO less bargaining power for future years and increases the cost for the rental of future convention centers. We encourage you to book within the ARVO block to keep overall costs for attendees as low as possible.

Reservations must be made online through the official ARVO housing website to receive ARVO rates.

  • Attendees are responsible for making your own hotel reservations. View the hotels list and map.
     
  • IMPORTANT: Please list all persons sharing a room by individual names on the reservation.  This allows ARVO to track where attendees are staying and makes it more likely you receive special requests based on the number of room occupants.
     
  • You must supply a valid credit card number to guarantee a reservation. A first and last night's deposit may be required by the hotel to hold your reservation.
     
  • Do not contact hotels directly. An acknowledgment of your reservation request will be sent by the Passkey system within an hour after submitting your completed reservation online.
     
  • Keep a copy of your reservation acknowledgment for your records. If you do not receive an acknowledgment email within 24 hours, please check your junk/spam folder and contact Orchid Events if it is not located.

If you have questions about your reservation or need to make a change, you may access your reservation online. There is no fee for modifying your reservation.

The acknowledgement email from Orchid Events is confirmation of your room reservation. You will not receive an additional confirmation from your hotel as they will not have a record of your reservation until a few days prior to the beginning of the Annual Meeting. 

  • If you do not receive an acknowledgment email within 24 hours, please check your junk/spam folder and contact Orchid Events if it is not located.

If you have questions about your reservation or need to make a change, you may access your reservation online. There is no fee for modifying your reservation.

You may cancel your reservation online. Each cancellation will be issued a date and number.

  • NOTE: After March 11, 2026, cancelled room reservations will incur a cancellation fee
     
  • Before canceling your reservation, be sure to check your hotel's cancellation policy and minimum-night stay requirements. Cancellation policies vary by hotel.

Many hotels in the ARVO room block sell out quickly. You should make your reservation as soon as you know you are planning to attend the Annual Meeting. The online system allows you to easily make changes to your booking  and there is no fee for modifying your reservation.

Contact Orchid Events for suite rates and availability. All suite requests must be approved by ARVO.

If contacted by someone asking if you need a room at ARVO or representing themselves as the "ARVO Housing Bureau," please:

  1. Get as much information as you can (e.g., name of the company and the person calling, their company address, email and phone number). The more information you can collect, the better chance we have to stop them from contacting others. If possible, please request information such as hotel availability and rates or have them send this information to you via email.
  2. Contact arvomeetings@arvo.org, with all the details you can provide.

When you book online through ARVO housing bureau you avoid potential scams. NOTE: ARVO-authorized vendors will not contact you directly. If you are contacted by a vendor claiming to be an ARVO Annual Meeting registration or housing provider, do not respond or provide any personal information. ARVO cannot guarantee your registration or housing reservation if you purchase them using an illegitimate website.

Visa and travel information

Direct visa assistance, including making calls and appointments, is not offered by ARVO. The U.S. Department of State has developed a Visa Wizard to guide you in selecting the correct visa application.

If you are eligible for the Visa Waiver Program (VWP), you may travel to the United States for a period of 90 days or less with an Electronic System for Travel Authorization (ESTA). To learn more about the VWP and obtaining an ESTA, visit the U.S. Department of State website.

Things to consider

  • To obtain a U.S. Visa, you may need to participate in a U.S. Consulate interview. Determine if you need an interview as soon as possible, as the wait time may be several weeks and may require you to travel to a U.S. Consulate.
     
  • For immediate and continuous travel through the United States to another country, a Transit Visa may need to be obtained. If you have a connecting flight, ensure you have the proper documentation for the country or countries through which you are connecting.
     
  • Like many countries, the United States requires travelers to have a passport that is valid for at least six (6) months after your return flight date.
